Job Responsibilities
• Assist in RFQ preparation and issuance for spare parts, consumables, and CAPEX items.
• Compare quotations and prepare summary tables for evaluation.
• Help track supplier performance metrics (e.g., on-time delivery, responsiveness, pricing competitiveness).
• Shadow procurement officers to understand the full lifecycle: from requisition to payment.
• Participate in weekly procurement planning meetings to observe prioritization and decision-making.
• Document process flows and identify areas for improvement or automation.
• Extract and clean procurement data from SAP for spend analysis, cost-saving tracking, and supplier performance.
• Build Excel dashboards to visualize trends (e.g., monthly spend by category, lead time variance).
• Assist in preparing quarterly procurement reports for management review (Spent & Saving) in the form of a dashboard with Power BI.
• Coordinate with requestors from operations, engineering, and Industrial Engineering teams to clarify specifications and delivery timelines.
• Support communication with suppliers regarding RFQs, delivery schedules, and documentation.
• Attend supplier meetings and document minutes and action items.
• Learn to navigate Ariba for supplier onboarding, PO creation, and invoice tracking.
• Support data entry and validation in Ariba and SAP systems.
• Identify gaps or inefficiencies in digital workflows and suggest improvements.
• Maintain organized records of RFQs, quotations, PO approvals, and delivery notes.
• Ensure procurement activities comply with internal policies and audit requirements.
• Assist in updating SOPs and procurement templates based on observed practices.
• Strategic Exposure & Learning
• Participate in cost-saving initiatives and observe negotiation strategies.
• Support inventory analysis and contribute to reduction planning.
• Learn about ESG considerations in supplier selection and sustainable procurement practices.
Job Requirements
Candidates should be currently pursuing or have recently completed a Diploma, Bachelor's, or Master's degree in one of the following disciplines:
- Supply Chain Management
- Logistics and Transportation
- Business Administration or Management
- Industrial or Systems Engineering
- Operations Management o Procurement or Strategic Sourcing
