Job Description: 

Responsibilities

  • Coordinate and administer internal and external training programmes, including scheduling, registration, attendance tracking, certification issuance, and training records management to ensure smooth and compliant training operations.

 

  • Liaise with internal stakeholders, external training providers, and relevant departments to obtain and maintain accurate training schedules, course information, quotations, invoices, and supporting documentation.

 

  • Support the end-to-end external training administration process, including course registrations, training grants coordination, procurement documentation, payment processing, and system submissions through ARIBA and other internal platforms.

 

  • Maintain and update comprehensive employee training records and databases, including employee profiles, certification status, attendance records, training hours, and supporting audit documentation in accordance with organizational and compliance requirements.

 

  • Administer Learning Management System (LMS) activities, including creation and maintenance of course codes, class codes, training assignments, e-certifications, and training-related documentation to ensure data accuracy and accessibility.
  • Provide administrative and operational support to the Training & Development team, including support for production trainers, New Employee Orientation (NEO), certification documentation, printing, lamination, and coordination of training logistics.

 

  • Coordinate and maintain training-related documentation, templates, forms, and electronic filing systems to ensure proper version control, audit readiness, accessibility, and adherence to established standards and procedures.

 

  • Facilitate completion and administration of training-related forms and employee documentation, including onboarding records, operational certifications, and employee training files.

 

  • Support departmental budget administration activities by maintaining training budget trackers, training utilization records, monthly reporting files, and supporting documentation for management review and audit purposes.

 

  • Manage training room bookings, training facilities, equipment readiness, and training-related logistics to ensure an effective and conducive learning environment.

 

  • Support office administration and workplace organization initiatives, including stationery management, 5S housekeeping activities, training room upkeep, and departmental coordination responsibilities.

 

  • Coordinate with Procurement, Finance, HR, EHS, QA, Facilities, Production, and other cross-functional departments to support operational and training-related administrative activities.

 

  • Maintain confidentiality, accuracy, and professionalism in handling employee information, training documentation, operational records, and compliance-related data.

 

  • Support ad-hoc administrative, operational, and organizational development initiatives assigned by the Training & Development team or management.

 

Responsibilities

PRIMARY RESPONSIBILITY: Administers the company's office services which may include copy services, word processing, mail and distribution services, records retention, office reception, janitorial services, cafeteria staff, recreation services, utility services and communication systems (such as telephones and facsimile transmission systems). Coordinates with necessary vendors to meet organizational needs. May oversee general administrative staff. Selects, develops and evaluates personnel to ensure the efficient operation of the function.

Required Experience and Skills

  • Fresh graduates are welcome to apply, while candidates with at least 2 years of experience in training, or production line are preferred.
  • Proficiency in Microsoft Office applications especially Excel, Word and PowerPoint.
  • Comfortable with data entry, filing, and administrative processes.
  • Able to multitask and work in a fast‑paced training environment.
  • Customer‑oriented with a positive and professional attitude.
  • Team player, adaptable, receptive to change and able to thrive in a fast-paced environment.
